CAL-e Windows Server wyjaśnione: User vs Device, CAL-e RDS i czego naprawdę potrzebujesz

Najbardziej niezrozumiana część licencjonowania Microsoft — kiedy potrzebujesz CAL-i, jakiego typu i ilu.

Buying a Windows Server license only licenses the server itself. Every user or device that accesses it — file shares, Active Directory, printing, applications — also needs a Client Access License (CAL). No CALs, no compliance.

User CAL vs Device CAL

User CALDevice CAL
CoversOne person — unlimited devicesOne device — unlimited users
Best whenStaff use multiple devices (PC + laptop + phone)Shared machines — shifts, kiosks, warehouse PCs
ExampleOffice worker with PC and laptop → 1 CAL3 shifts sharing 10 PCs → 10 CALs

You can mix them, but cannot convert one into the other. The rule of thumb: count whichever is smaller — employees or devices — and license that.

RDS CALs are separate

Remote Desktop Services has its own CAL type. A regular User/Device CAL does NOT cover RDP sessions into the server. Anyone connecting to a terminal server / RDS host needs an RDS User or Device CAL — and yes, that is on top of the base CAL.

  • •File/AD/DNS/print access → base CAL
  • •Remote Desktop sessions → base CAL + RDS CAL
  • •External users (customers, contractors) → base CAL or External Connector license
  • •The server OS managing itself → no CAL needed for admins (up to 2 admin RDP sessions are free)

Budget tip

For small shops, Device CALs often win — one reception PC serving 5 people needs 1 CAL instead of 5. For staff with phones and laptops, User CALs win. Count before you buy, not after an audit.
